Check-in and Check-out Procedures

  • All guests must stop by the guard house to receive your vehicle pass, directions to the house, a temporary code for the gate entry, and other information.
  • The Guardhouse hours are 7am to 7pm Monday through Saturday and 9am to 5pm on Sundays.
  • Tenants are encouraged to arrive during guard hours so questions can be answered by staff.
  • If arrival is outside guard hours, security can be called for entry instructions. The phone number will be provided with arrival information 48 hours before check-in.
  • Check-in is after 4pm. Check-out is by 10am.

Property Access

  • Guests staying at this home have access to the amenities of the Headwaters at Banner Elk community, including tennis courts, lake pavilion for canoeing, picnic shelters, community clubhouse (fitness center, game room with pool, ping pong, foosball, and movie theater), adventure park with campsites, tree houses, camp style grills, fire pits, and hiking trails through the community and to the Elk River.
  • All guests must stop by the guard house to receive a temporary code for the gate entry.

Policies and Rules

  • This home allows up to 2 mature, well-trained dogs (under 30 pounds) with an additional pet rent of $25 per pet per night plus tax. Pets other than dogs are not permitted.
  • No smoking allowed in the home. No trace of smoking left outside the home.
  • No parties or gatherings above the posted occupancy allowed at any time. Keep outside noise at a reasonable level.
  • Do not leave food or trash outside as it could attract animals. All trash must be bagged and placed in the trash receptacle indicated in the Welcome Book inside the house or your digital guidebook.
  • Renter must electronically sign an additional Rental Agreement Terms and Conditions and any Neighborhood Rules sent by Host (property manager); entry information cannot be sent until completed.
  • Must be at least 25 years old to reserve. This person is required to be the person signing the agreement and must be one of the persons staying in the property for the reserved dates.
  • No events allowed.
  • Minimum age: 25 years.
  • Children allowed.

Fees and Payments

  • Additional pet rent of $25 per pet per night plus tax for up to 2 mature, well-trained dogs (under 30 pounds). Pets other than dogs are not permitted.
  • Firewood may be purchased at the time of booking, or by calling with a week's notice. You receive two wrapped, kiln-dried bundles and a firestarter for $25 plus tax.
  • Cancellation Policy: Bookings canceled with a 15+ day notice will receive a refund of the deposit. Bookings canceled between 8-14 days before arrival will receive a refund of half of their reservation payments. Bookings canceled within 7 days of arrival are not entitled to a refund unless the reservation dates are rebooked to another guest. All bookings are subject to a $50 cancellation fee.
  • Off-Peak Special: Stay longer than the minimum number of nights and automatically receive a 5-15% discount, excluding holidays.

Utilities and Amenities Access

  • All BRMR homes offer well-stocked kitchens with cooking essentials. A starter set of paper products is provided: a roll of toilet paper per bath, several garbage bags, a small vial of dishwashing liquid, a few tablets of dishwasher detergent, some laundry pods, a roll of paper towels, hand soap, shampoo, conditioner, body wash, and some makeup remover cloths. These items are sufficient for one or two nights.
  • Towels and bed linens are provided. Hair dryers are not provided.
  • Be sure to bring a North Carolina fishing license and gear if you wish to fish in the community pond.
  • High-speed internet, washer, dryer, dishwasher, toaster, oven, stove, and patio are available. Free parking is provided.

Safety and Emergency Information

  • 4WD/AWD and/or chains are recommended during winter months (November-March). Travelers visiting during the winter months where inclement weather may be possible should be prepared with an AWD or 4WD vehicle; chains may also be required if it snows. No refunds, allowances, or date changes will be given to travelers who are not prepared with the proper vehicle, as outlined in the Rental Agreement.
  • Smoke alarm and carbon monoxide detector are present in the home.
